Check in and Check Out Process

Check In: Check in begins at 3:00pm. Earlier check in cannot be accommodated, but if you arrive before 3pm, our team can store your luggage in a secure location until 3pm. At check in, each guest will be asked to sign a guest registration card, much like a hotel. Once this card is signed, you will be issued a room key, bathroom key (if applicable), a building key (if applicable), and an access card. You will also receive a summer conference lanyard and pouch to help keep your keys and access card together.

Check Out: Check out ends by 11:00am. If your conference does not end by the 11am deadline, we ask that you make arrangements to check out by 11am and have our staff store your luggage in our designated luggage rooms. All keys and access cards must be returned to a summer conference staff member by 11:00am at the front desk. Failure to check out by 11am may result in an additional night’s fee.

Luggage Rooms: Luggage rooms are secure locations where guest can store their luggage if they arrive prior to the 3:00pm check in time or need to stay beyond the 11:00am check out time. If you need to store your luggage in this room, please visit your community front desk. Someone from the Conference Services team will meet you in the lobby to unlock the room for you.

Your Access: Keys and Access Card

Keys: Upon check in, a room key, bathroom key (if applicable), and a bathroom key (if applicable) are issued to you after signing your registration card. These keys should be returned upon check out.

Access Card: An access cad is issued to you upon signing your guest registration card. This card serves as your meal card and your access into your building (unless you are staying in Village). To enter your building, simply swipe your access card through the reader located near the front door of the building. To gain access to the dining center, present your access card to the front desk of the dining center. Upon check out, be prepared to turn in your access card.

If you lose or damage your keys or access card, please contact your summer coordinator to receive a replacement. Guests will be charged a $55.00 replacement fee for any lost or damaged key or access card. Payment must be received prior to receiving a replacement. Payment can be made at

Lock Outs

If you lock yourself out of your room, please visit the front desk. To ensure that only you and/or your roommates have access to your room, please be prepared to present a photo ID.

Front Desks

The community front desks are staffed by knowledgeable Residential Services Assistants (RSAs). RSAs provide assistance to the summer coordinators with the check-in and check-out process of conference guests. They can also assist with information regarding the University and local area. Throughout the summer, the Towers at Centennial Square operates 24/7. Other community desks have limited hours, which will be posted for your convenience.

Mail Services

Mail is delivered Monday through Saturday, except for Postal Services holidays, to Mary Ward Hall (MWH). Your assigned summer coordinator will contact you by phone or email when letters or packages have been received for your conference participants. The nearest U.S. mailbox is on Font Boulevard between Mary Park and Mary Ward Halls.

Linens and Cleaning

Linen services are provided to all conference guests. A standard linen packet is left on each bed, including:

  • One mattress pad
  • Two sheets
  • One blanket
  • One bedspread
  • One pillow and 1 pillowcase
  • One towel and two soaps

Guests can purchase superior linen service where beds are made prior to arrival, linens are exchanged weekly, and towels are replaced every third day.

A linen exchange will be provided at a designated location in each of the residential buildings and are available to be replaced once (1) a week for those groups staying more than seven (7) calendar days. Please speak with your summer coordinator to coordinate exchanges.

Groups staying seven (7) or less calendar days can exchange towels 3 days after their arrival. If guests wish to exchange their towels, please speak with your summer coordinator to set up an exchange.

Daily housekeeping services are not provided. Guests are responsible for the cleanliness of their rooms

City Eats Dining Center

City Eats Dining Center is our dining facility, featuring all-you-care-to-eat variety of well balanced and creative menus. It is located directly across from Mary Ward Hall.

Summer Hours of Operation:

  • Breakfast: 7:00am to 9:00am
  • Lunch: 11:00am to 1:00pm
  • Dinner: 5:00pm to 7:00pm
